Creating Impactful Volunteer Experiences

Quality volunteer engagement goes beyond mere participation—it's about creating meaningful and impactful experiences for volunteers. People want to generally know that their time and effort is making the most impact it can. Show volunteers how a couple of hours of administration means a support worker can see two extra clients a week.

Here are key elements that contribute to quality volunteer engagement, with a specific focus on how the digital journey can enhance engagement and increase commitment and ultimately improve the  volunteer journey,

1. Clear Purpose and Mission Alignment:

- Volunteers are more engaged when they understand the organisation's mission and how their contributions directly align with it. Clearly communicate the purpose of their work and the broader impact it has on the community or cause. Consider conducting a Volunteer Value and Investment Audit to help demonstrate the financial value a volunteer makes to an organisation. This also helps them understand that there is a cost to volunteer management which generally comers from unrestricted income. This may increase buy ion, extend length of service, and in turn reduce volunteer management costs.

2. Effective Communication:

- Establish open and transparent communication channels. Regularly update volunteers on organisational goals, project progress, and provide opportunities for them to share their thoughts and feedback. Clarity in expectations and ongoing dialogue fosters a sense of connection. Give volunteers a line manager, be that a member of staff or another volunteer. Consider the impact of online and offline communication, who do you exclude?, What are the costs? How do you measure the impact of comms? How can you use NUDGE theory (https://www.businessballs.com/improving-workplace-performance/nudge-theory/) to challenge volunteer behaviour. Are you communicating with the right group of people?

3. Skill Matching and Development:

- Assess volunteers' skills and interests to match them with tasks that align with their strengths and Interests. Remember round pegs don't fit square holes, and the leks are sometimes costly to stop. Provide opportunities for skill development and growth, ensuring that volunteers feel challenged and valued and wanted. Consider creating a mapping tool on your website which includes volunteer interests as well strengths and skills.

- Provide insights into creating seamless virtual onboarding processes that ensure volunteers feel connected to the organization's mission and understand their roles and impact.

4. Flexible Opportunities:

- Recognise that volunteers have varying time commitments and preferences. Offering a range of flexible opportunities, from short-term projects to ongoing roles, accommodates different schedules and commitments. Why not even consider offering a brokering service where you work with the volunteer to find out how they can support the charity how they want, You may not have even know the role they fulfil was even needed.

5. Recognition and Appreciation:

- Acknowledge and appreciate volunteers for their time, effort, and impact. Recognition can take various forms, including public appreciation, awards, or personalized messages. Feeling valued enhances the volunteer experience and encourages sustained engagement. Make sure you have internal and external methods of appreciation. Don't do volunteer-only recognition events, they don’t add value and don't achieve the goals they set out to. Think about how you can recognise volunteers through existing activities. The Scouts have a clear volunteer awards structure, The Prince's Trust have a Mentor of the Year as part of the Celebrate Success awards. Why not consider how you can use existing local award structures for example local civic awards, and for the RIGHT people applying for royal honours. TOP TIP: If applying for a Royal Honour, collect as much information on the person as possible I would recommend creating working groups with all the organisations they work with to write the best application and give the best chance of success.

6. Training and Support:

- Provide comprehensive and ongoing training to equip volunteers with the necessary skills and knowledge. Use multiple channels to make the training accessible, and remember to consider learning styles, strategy responsibilities and corporate governance. Ongoing support, mentorship, and resources ensure that volunteers feel confident and prepared for their roles.

Quality volunteer engagement is an ongoing process that requires attention to these elements. By prioritising these aspects, organisations can build a positive and rewarding volunteer experience that attracts, retains, and maximises the impact of dedicated volunteers.
